Privacy Policy
Last updated: 8 October 2026
HootMedia (“we”, “us”) designs and builds websites for South African businesses. This page explains what personal information we collect on hootmedia.co.za, why, and what your rights are under the Protection of Personal Information Act 4 of 2013 (POPIA).
Who is responsible
HootMedia is the responsible party for the information described here. The information officer is George Leonard. Contact: sales@hootmedia.co.za or WhatsApp 082 619 2893.
What we collect
- Order form: your name, business name, email address, phone or WhatsApp number, the package you choose, and any notes you add.
- WhatsApp, calls and email: whatever you send us, including your number and message content.
- Payment: payments are made through Yoco. Yoco handles your card details. We never see or store them. We keep the payment reference and the amount.
- Visit statistics: which page was opened, the site you came from, whether the device is a phone or computer, and the advertising tags in the link you clicked. We do not store your IP address. Visitors are counted using a one-way code that changes every day and cannot be traced back to you.
- Meta Pixel: when you visit this site, the Meta (Facebook and Instagram) Pixel sends Meta information about your visit and actions, such as page views and when you tap WhatsApp or submit the order form. It uses cookies and your browser details. Meta may link this to your Facebook or Instagram account.
Why we use it
- To respond to your enquiry, quote, build and deliver your website, and invoice you.
- To measure whether our adverts work and to show our adverts to relevant people on Facebook and Instagram.
- To meet legal, tax and accounting duties.
We do not sell your information. We do not use it to make automated decisions about you.
Who we share it with
- Yoco to process payments.
- Meta Platforms through the Pixel, as described above. Meta may process information outside South Africa.
- Our hosting provider (HostAfrica), where this site and our email are stored.
- WhatsApp when you message us there.
- Authorities, only if the law requires it.
How long we keep it
We keep order and enquiry details for as long as we need them to serve you, and invoices and payment records for 5 years as South African tax law requires. Visit statistics are kept without your IP address. Ask us if you want something removed sooner.
How we protect it
Our records are stored on a password-protected hosting account and the site runs over HTTPS. No system is perfectly secure, but we take reasonable steps to prevent loss, misuse or unauthorised access.
Your choices and rights
- Ask what personal information we hold about you, and ask us to correct or delete it.
- Object to us using your information, or withdraw consent you gave.
- Stop Meta advertising tracking: use your Facebook ad preferences, block third-party cookies, or use a tracking blocker in your browser.
Email sales@hootmedia.co.za and we will respond within a reasonable time. If you are not satisfied, you may complain to the Information Regulator of South Africa at inforegulator.org.za.
